sessions with over 20 complex tenant cases of rent arrears, involving the write

up of appeals to the Northern Ireland Housing Executive, Social Security
Departments including the ESA & Disability Benefit’s. The Association’s staff

has also made numerous referrals to Social Security Agency regarding

community care grants and other support packages and helped signpost many
other tenants to the services available.

The Association has undertaken further work to directly counsel tenants and
help them manage their rent arrears, many of whom have replied to the

Association expressing their gratitude for this help at a difficult period in their

own lives.

SharePoint – Improved internal communications

The Association has significantly improved internal communications between

the Board and the Senior Management Team. The Association uses Microsoft
SharePoint 365 as a basis for its cloud based internal digital communication

systems. All the systems have been developed in-house and provide staff and
Board with a cross device secure focal point for their business with access to

all areas.

The range of internal systems developed include a full Board extranet for

meeting papers and policies while an internal response maintenance module
provides systems for monitoring, recording and reporting on maintenance. The

system is also used for the reporting and performance monitoring of, for
example, complaints, recharges and re-lets to the Senior Management Team

and Board/Committees as required, and is currently being developed to

provide a central reporting mechanism for lone workers in the Association.

Flow Chart and Table of Key Milestone Dates.
Finally the Team identified a flow chart and table within the Associations

“Governance Procedures” policy which it would highlight as examples of good
